Storing Reports Locally

Hello OnePacs Team!

I need to lower the size of my online storage.

1) Is there a way to download old reports using the Report Distribution feature and deleting the studies from the system? Will that lower my monthly storage consumption or will the system actually count for those studies received during the month regardless if they are still in the system or have already been deleted?
2) Is there a way to flush all imaging data for studies received during a certain period of time?

I need a way to store all reports locally for an unlimited period of time (required by local law). However, once the study has been reported and the report has been stored, there is no need to keep the data.

You can download reports using the data export feature, and checking the "include report" checkbox. This will include the text of the report written by the radiologist.
The reports on onepacs use templates, so there could be additional bells and whistles displayed when someone uses the web interface or gets a fax, such as signature blocks, that wouldnt show in this field. But the reporting radiologist will be listed in a separate column in the data file anyway.

By the way the space taken up by reports themselves doesnt count against your space quota.

The problem is that I have to keep the original pdf file because the data extract feature is a pure text extraction. The report itself needs to be intact in its original form. Is there a way to:

1) Extract all pdf reports from the system
2) Flush all images for studies older than 30 days...

We can set the system up to email copies of the fully formatted reports as they are completed, but this requires some coordination with us since we have to assure the email is transmitted in a HIPAA-compliant, or other relevant regulatory system-compliant-fashion, as it can't go out over regular (unencrypted) email. Thus this wouldnt be available in the free version, but we would be happy to work with a client to set up such a system for archiving the fully formated reports for subscribed versions of OnePacs.

We can set the system to flush all images for studies older than 30 days, that's just a simple setting to set.

If copies of fully formatted prior reports are desired (not just for new reports as they're completed), our IT staff could prepare such data on request for subscribed accounts as well.

I just wanted to make sure this was completely clear.

1) Reports are retained indefinitely and don't count against your storage total.
2) When your storage allotment fills up, new incoming studies will still be allowed to store into OnePacs. However, the imaging data of the oldest studies will begin to flush if they are older than the minimum retention days of the facility.
3) Reports and key images are never flushed but can be manually deleted.

Forgive me if I'm misunderstanding your requirements, but it sounds to me like the current behavior meets your needs because it already retains the pdf reports indefinitely and will automatically flush your oldest imaging data.

Thank you for your help. So just to confirm, even with a free version, when storage allotment fills up, the system will automatically flush imaging data of the oldest studies, correct? Also, is there a way to set up a data dump of all reports in pdf so I can store them locally?

Yes, to your first question.

There is no automated way to export all reports in pdf format but you can retrieve them individually from OnePacs at any time. The reports are backed up and never flushed automatically.
